Terms of service

A practical agreement for keeping track of work.

These terms describe the rules for using Timegeist, including AI-assisted entries, workspace collaboration, subscriptions, and account responsibilities.

Agreement and eligibility

These terms are between you and Pixelheads B.V. (Dutch Chamber of Commerce 69959447), the provider of Timegeist. By creating an account or using the service, you agree to these terms and the Privacy notice.

You must be at least 16 and legally able to enter this agreement. If you use Timegeist for an organization, you confirm that you have authority to bind it. If you do not agree, do not use the service.

Accounts and workspaces

Provide accurate account information, protect your login method, and notify us promptly of unauthorized access. You are responsible for activity performed through your account unless caused by our breach.

Workspace owners and administrators control membership, roles, projects, settings, and billing within their authority. They may access workspace-visible content and remove members. You must invite only people you are authorized to add and choose privacy settings appropriate for the information being logged.

One person may not use another person's account. We may require email verification or recent re-authentication for sensitive actions.

What Timegeist does

Timegeist helps create, organize, analyze, and export time records. Features can include manual entry, timers, natural-language and screenshot-assisted proposals, read-only calendar import, projects, rates, reports, team workspaces, and integrations.

AI output is a proposal, not a fact. AI can omit, misread, or invent information. You are responsible for reviewing dates, duration, project, billable status, rate, privacy, and other fields before relying on an entry, report, invoice calculation, or business decision. Timegeist is not legal, tax, payroll, or accounting advice.

Your content and our software

You retain your rights in the data and content you submit. You grant us a limited, non-exclusive right to host, process, transmit, back up, and display that content only as needed to provide, secure, support, and improve Timegeist in accordance with the Privacy notice.

You confirm that you have the necessary rights and lawful basis to submit content, including client information, employee data, screenshots, calendar events, and invitation addresses. Do not upload special-category, highly confidential, or regulated data unless you have determined that Timegeist and your configuration are suitable for it.

Timegeist, its design, software, brand, and documentation remain ours or our licensors'. These terms give you a limited, revocable, non-transferable right to use the service for its intended purpose; they do not transfer our intellectual property.

Acceptable use

You may not:

  • use the service unlawfully, deceptively, or to violate another person's rights;
  • submit malware, abusive content, or data you are not authorized to process;
  • probe, bypass, or interfere with security, access controls, rate limits, entitlements, or workspace isolation;
  • reverse engineer the service except where applicable law expressly permits it;
  • resell or provide access to Timegeist as a standalone competing service without written permission;
  • use automated means that place unreasonable load on the service or scrape data outside documented interfaces; or
  • use AI features to develop models or systems that compete with the underlying provider in breach of applicable provider terms.

We may investigate suspected abuse and restrict access when reasonably necessary to protect users, the service, or third parties.

Free and paid plans

Current features, allowances, prices, billing intervals, seat minimums, and taxes are shown on the pricing or checkout screen. Plan limits are part of these terms. We may change future pricing or plan packaging with reasonable notice; a change does not alter a paid period already purchased unless required by law.

Paid subscriptions renew automatically for the selected monthly or annual period until cancelled. You authorize Stripe and us to charge the payment method for recurring fees and applicable taxes. You can manage or cancel a subscription through the billing portal. Cancellation normally takes effect at the end of the paid period.

Fees are non-refundable except where we state otherwise or applicable law requires a refund. Consumer withdrawal, conformity, and other mandatory rights remain unaffected. If you ask us to begin a digital service immediately, any statutory withdrawal consequences will be presented where legally required.

If payment fails, we may retry collection, notify the billing contact, limit paid features, or suspend the subscription after a reasonable opportunity to resolve the issue. You remain responsible for accrued amounts.

Third-party services

Timegeist interoperates with services such as Google, Anthropic, Stripe, Supabase, Vercel, Resend, and Cloudflare. Their services are governed by their own terms and can change or become unavailable. You authorize us to exchange the minimum necessary data when you enable or use an integration.

Google Calendar access is read-only and optional. Disconnecting an integration may stop future sync but does not automatically remove time entries you previously confirmed.

Availability, maintenance, and changes

We aim to keep Timegeist available and protect stored data, but do not promise uninterrupted or error-free service. Maintenance, provider incidents, internet failures, security events, and beta features can cause interruption or data delay. Keep exports or independent records where uninterrupted access is essential.

We may add, change, or discontinue features. If a change materially removes a core paid function during a prepaid period, contact us and we will provide a reasonable remedy required by applicable law. Preview or beta features may be changed or withdrawn and should not be used for critical workflows.

Warranties and responsibility

To the fullest extent permitted by law, Timegeist is provided “as is” and “as available.” We disclaim implied warranties that can lawfully be excluded. Nothing in these terms excludes warranties, remedies, or liability that mandatory law does not allow us to exclude.

We are not responsible for indirect or consequential loss, lost profit, lost opportunity, loss caused by unreviewed AI output, or a third-party service outside our reasonable control, to the extent permitted by law.

For paid service claims, our aggregate liability arising from Timegeist is limited to the fees you paid for the affected service in the 12 months before the event. For free service, it is limited to EUR 100. These limits do not apply to fraud, wilful misconduct, death or personal injury caused by negligence, breach of confidentiality where exclusion is unlawful, or any liability that applicable law does not permit us to limit.

Suspension, termination, and deletion

You may stop using Timegeist at any time and can request account deletion in Account settings. Account deletion can require you to resolve an active paid subscription, transfer or remove a team workspace, or leave another person's workspace first. This protects other members' data and active contracts.

We may suspend or terminate access for material breach, non-payment, security risk, unlawful use, or serious harm to the service or others. Where reasonable, we will give notice and an opportunity to remedy. We may terminate the service generally with reasonable notice.

After termination, your right to use the service ends. Provisions that by their nature should survive—including payment duties, intellectual property, disclaimers, liability limits, and dispute terms—remain effective. Data handling after termination follows the Privacy notice and legal retention duties.

Governing law, changes, and contact

Dutch law governs these terms, without regard to conflict-of-law rules. The courts of the Netherlands have jurisdiction, except that consumers retain any mandatory right to bring a claim in their country of residence and remain protected by mandatory local consumer law.

We may update these terms to reflect service, legal, security, or commercial changes. We will provide reasonable notice of material changes. Continuing to use Timegeist after the effective date means you accept the updated terms; if you do not agree, you should stop using the service and cancel before the change applies.
